Many times a phone conversation with the office is all you have to do in order to set up a meeting with your representative.  But, sometimes offices want the request in writing.  Please adapt this note with your name and information.

Re: Request for June 17 meeting with Representative Tiberi and key aide

Dear Nancy:

I live and work in the Columbus area.  I and other Ohioans will visit our members of Congress during Bread for the World's annual Lobby Day on Tuesday, June 17. We will be urging our Ohio members of Congress to support more and better poverty-focused development assistance.  Specifically, we will be asking our representatives to support final passage of the Global Poverty Act (H.R.1302) and increase poverty-focused development assistance by $5 billion in FY09.

We know Representative Tiberi recognizes the importance of making U.S. foreign assistance more effective and fulfilling U.S. commitments to fight global poverty. But we also know that as his constituents, we must continue to urge him to support funding for our foreign assistance programs that most effectively reduce global hunger and poverty, even in the face of budget limitations and increased domestic pressures.

We request a meeting with Representative Tiberi and his key foreign policy aide sometime between the hours of 3:30 pm and 5:30 pm on Tuesday, June 17. Since we are also seeking meetings with both of the Ohio Senators that afternoon as well, I hope you can give me a sense of what flexibility there is in your schedule.

You can reach me by email at josephine.activist@gmail.com or by phone during the day at (614) 867-5309 or evenings at (614) 555-3235. After Wednesday of this week I am best reached by phone on my cell phone, (202) 123-4567. My fax number is (614) 227-9446.

Thank you so much for your help with the scheduling of this visit.

Sincerely,

Josephine Activist
